Closing alerts in CZAMS by the Marketing Authorisation Holder (MAH)

We would like to remind MAHs of the definitions of the most frequently used final alert statuses associated with pharmacy and wholesaler transactions:

“06a - Closed - MAH error - Fixed”

By closing an alert with this status, the MAH confirms that the cause was an error on their side and that it has already been corrected, for example by uploading the missing data to the repository. For the end user, this status indicates that the pack can now be correctly verified in the CZMVS system. The MAH should only use this status in cases where the issue has indeed been fixed. Otherwise, a new alert will be generated when another verification attempt is made.

 

“06b - Closed - End User - Technical error”

Using this status, the MAH confirms that the alert was caused by a technical error on the end user’s side. After the issue is resolved, the pack can be correctly verified, and at the same time any MAH-related error is ruled out. This status should only be used when it is clear the root cause lies in a technical end-user mistake during scanning, typically:

  • character mismatch,
  • letter case mismatch,
  • a string of characters that is too short or too long.

 

"06c - Closed - MAH error- Not fixed"

This status is used by the MAH when the alert was caused by an error on their side that cannot be corrected. The pack cannot be correctly verified and must not be dispensed or further distributed. The end user should not perform any additional transactions on the pack, as this would again generate a new alert.

Correct use of final alert statuses significantly speeds up investigations and improves the data quality in CZAMS, allowing more accurate analyses and more efficient alert management.
